LABBAIK LIMITED BOOKING TERMS & CONDITIONS

BOOKING
The Terms & Conditions must be signed when a booking is made. We strongly advise that every pilgrim read and understands how to perform the Hajj & Umrah prior to making a booking with us and follows the tour operator’s instructions and guidance throughout their journey. The booking form must be completed, signed and dated. All necessary documents and cheques totalling 50% of the total cost must be submitted with the booking form.  Please make cheque payable to; Labbaik Ltd. Address: 80, Ben Jonson Road, London E1 3NN.

PAYMENT
Please ensure the balance is paid in full, four weeks prior to departure. All payments must be made in pounds sterling. Labbaik Ltd reserves the right to cancel the booking and forfeit the deposit, without notice, if the total amount is not received within this time. Instalments can be arranged under special circumstances. 90% payment should be paid by Ramadan. All necessary documents should arrive at our office no less than six weeks prior to the departure date.

CANCELLATION
Please send a cancellation letter to: Labbaik Ltd. Address: 80, Ben Jonson Road, London E1 3NN, stating reasons for cancelling.  Cancellations will be subject to a levied charge relatively to the date of departure as follows:
a)   Cancellations made with more than 28 days’ notice, before the date of departure, 60% of the full package price will be charged.
b)   Cancellation made with less than 28 days’ notice, before the date of departure, 80% of the full package price will be charged.
c)   Cancellation made with less than 21 days’ notice, before the date of departure, 95% of the full package price will be charged.

VISA AND TICKETS
Once the Hajj visa is granted, 100% of the total package price will be charged.  No liability is accepted for visa refusal by the Saudi Consulate. Applicants will have to pay the charges incurred; Labbaik  Ltd, will not be liable for any Airline flight delays or cancellations.

DELAYS & CHANGES TO DATES
Due to the large number of pilgrims travelling, delays and queues are to be expected in Saudi Arabia. Times that we have provided are tentative and delays may occur from time to time. You are requested to abide by the times appointed by your group leader, as they will override all prior notification. Labbaik Ltd reserves the right to change the departure date or time, if necessary, and will inform you of the changes made in advance of your travel. Date changes are extremely rare and usually result from bad weather conditions, rescheduled flights, and action by air traffic controllers, mechanical faults or industrial actions; all of which are beyond our control. Labbaik Ltd, are not responsible for the loss or the invalidity of connecting tickets/flights due to any delays which are beyond our control.
It is your responsibility to ensure that your luggage weight is within the carrier’s allowance; extra weight is chargeable by the Airlines and must be paid to them directly upon request. We are not responsible for freighting your baggage, and we do not give credit or lend money nor are we responsible for any lost baggage.
If you decide to visit Jeddah or drop out of the group for any reason during the Hajj, you must inform Mr Arosh Ali / Mr Md Hifzur Rahman Chowdhury or direct to Labbaik Ltd, in person.  Failure to do so could result in the cancellation of your contract with Labbaik Ltd.  You will then be responsible for the completion of the journey and official paperwork, as well as, arranging your return journey to the airport for departure.


ACCOMMODATION
All our hotel rooms are shared accommodation and individuals wishing for private rooms need to book in advance the required room and ensure adequate payment is made. Star rating is according to the Saudi Ministry of Trade standards, all information pertaining to room conditions and facilities has been supplied by our agents, we do endeavour to ensure that as at the time of going to press, the accommodation is of the highest quality which we can provide. We reserve the right to make changes to the name of the hotel accommodation without notice.  Accommodation in Mina and Arafat is in the tents provided by the Hajj Ministry; please note that there are no tents in Muzdalifah and individual will have to make their own arrangement. All transportation during days of hajj are also provided by the Hajj Ministry, please be prepared for serious delays as these are beyond the control of Labbaik.

Accommodation in Mina & Arafat; our pilgrims will be provided with tents by the Hajj Ministry in both locations.

Please note that there will be no tents in Muzdalifa.  All pilgrims are advised to make their own arrangements.

FOOD AND REFRESHMENTS
Due to health & safety and the management of personal hygiene, all meals are prepared and delivered by an external caterer. Meals will be packed and served in individual portions. In Mina, both lunch and dinner will be provided on the 8th, 11th  and  12th Dhul-Hijja. Only lunch provided on 9th Dhul-Hijja, and only dinner provided on the 10th Dhul-Hijja.

PRICE CHANGES
Labbaik Ltd reserves the right to increase its package prices without prior notice; however, if you have confirmed your booking with a deposit, or if you have already made your final payment, your price will be protected.

HEALTH
Travellers must carry vaccination certificates with them for inspection by the Saudi Authority at port of entry.
Health services are free as provided by the Saudi authorities, however if any passenger is on regular medication, he/she should consult his/her GP and inform us of any special requirements on the form. In case of death, the deceased is buried according to the regulations of Saudi Arabia and repatriation of the body is not possible.

LOST LUGGAGE & ITEMS
Labbaik Ltd will not be held liable for any lost, stolen damaged goods or luggage.

TRAVEL INSURANCE
It is a condition of booking with every tour operator that you have adequate insurance cover. Such insurance will ensure that you are properly covered against unexpected cancellation charges, medical costs that might be incurred while you’re away, loss of money, or belongings, or personal liability claims. Please note that the cover offered by most credit card companies is not normally adequate for package holiday or holiday flight bookings. Labbaik Ltd do not offer insurance cover with any of its products, Labbaik Ltd would strongly urge you, to make your own independent insurance provision.
Labbaik is protected by the ATOL (6854) & IATA (91278541) scheme.


Behaviour:
All applicants who travel with Labbaik Ltd are expected to behave in a manner which is conducive to the journey that they are making. Under no circumstances should travellers be involved in brawls, fights or arguments, or display behaviour which would be seen as detrimental to the image which Labbaik Ltd desires to be shown by a person undertaking a journey.

GENERAL GUIDELINES

No food products are allowed into the Kingdom of Saudi Arabia.

The last day to enter King Abdul-Aziz Airport in Jeddah for the purpose of Hajj is the 4th Dhu Al-Hijjah of each year.
Upon arrival, pilgrims shall hand their passports to the "United Agents Office" representatives to enable the latter to complete all travel formalities to Makkah and Madinah.

In the event that pilgrims lose their passport, they should immediately report the loss to the same office appointed to take care of them during Hajj. Applicants must obtain a report from the United Agents office, in which the loss of passport is mentioned.
All pilgrims must leave the Kingdom of Saudi Arabia after Hajj no later than the 10th of Muharram of each year. The rules and regulations of the Kingdom of Saudi Arabia forbid any pilgrims from staying in the country after the completion of Hajj.

10th Dhul Hijjah
If any individuals go back to Makkah for tawaf on 10th dhul hiijah, it is their own responsibility to return back to mina at individual own cost, Labbaik will take no responsibility.

OUR COMMITMENT
Labbaik Ltd, with years of experience, pledges to make your Hajj journey a success Insha’Allah. In the event of any difficulty we will try our level best to remedy the situation as quickly as possible.

Labbaik Ltd will take all steps to ensure that your journey is conducted with minimum difficulties and as comfortable as possible. In the event that any difficulty should arise which has not been mentioned above, we will endeavour to correct such difficulty without any delay and with minimal inconvenience.

 DISCLAIMER REGARDING AUDIO/VIDEO RECORDING OF PILGRIMS
During our trip; photography, video and audio recording will occur. By joining our group, you consent to interview(s), photography, audio recording, video recording and its/their release, publication, exhibition, or reproduction to be used for news, web casts, promotional purposes, telecasts, advertising, inclusion on web sites, or for any other purpose(s) that Labbaik Ltd, its vendors, partners, affiliates and/or representatives deems fit to use. You release Labbaik Ltd, and each and all persons involved from any liability connected with the taking, recording, digitizing, or publication of interviews, photographs, computer images, video and/or or sound recordings.

By joining our group, you waive all rights you may have to any claims for payment or royalties in connection with any exhibition, streaming, web-casting, televising, or other publication of these materials, regardless of the purpose or sponsoring of such exhibiting, broadcasting, web-casting or other publication irrespective of whether a fee for admission or sponsorship is charged.

You also waive any right to inspect or approve any photo, video, or audio recording taken by Labbaik Ltd or the person or entity designated to do so, Labbaik Ltd. You have been fully informed of your consent, waiver of liability, and release before joining our group.


Declaration
I confirm that I have read and understood the content of the booking form, the expectations, acknowledgement above and the terms and conditions. I also confirm that I have not travelled to Hajj in the last 5 years and I will provide all my previous expired passports along with the current one if it has been renewed since Hajj last 5 years.

I hereby declare that I am a UK resident and if required, I give permission to the relevant authorities to check the status of my residency through the concerned United Kingdom authorities.

I confirm that the information given is true to the best of my knowledge and I agree to abide by the terms and conditions of Labbaik Ltd, and I understand that dates are subject to change in accordance to the Islamic calendar.

This agreement is between Labbaik Ltd and the applicant or representative of a group/ a family member. On completion of your booking it is agreed that you have accepted and will adhere with all the terms and conditions herein.
